PROCESSING NEW MONOGRAPHIC MATERIAL
General Procedures
- New monographs, videos, relocations, and all non-serial material to be processed into the HSLIC collection are delivered daily to the HSLIC by the Library Page and then forwarded on to the Acquisitions and Collection Management Section.
- The Acq. Librarian reviews incoming material each day, leaving a green "flag" with the material when finished. Another flag identifies titles which need the title page photocopied. Include the call number on the photocopy, place with any book jackets in the Acq. Librarian's in-box.
- Processing priority: Reserves, items with holds, Reference, everything else.
- Check the call number against the printout from the cataloger. If a discrepancy, correct the error, e.g., re-type the call number labels.
- If a NOTIFY flag is in the item, fill out the accompanying hold card. If the requester information is only in the Order record, you may need to go into the online Circulation system to put a Hold for the patron.
- Take books with imprints of the past two years to the Circulation Section for New Acquisitions Area processing. Circulation will do any date stamping and processing of holds.
- Books with imprints of over two years have their date-due slip stamped with the current date and are placed on the book truck, top shelf, in front of Serials Section.
- SPECIAL COLLECTIONS and RARE BOOKS material is shelved directly into these collections.
KKSherwood
- Stamp the date, and "KKSherwood" on the date due slip.
- Check the inside call number label for "K.K. Sherwood" and correct it and the Innovative item record if not marked for KKS.
- Place material in KKSherwood Librarian's mail box.
Reserve processing
- Remove all but the purple Reserve flag.
- RESERVE items go directly to the Reserve processors' inboxes in the Serials Section.
Reference processing
- Sort out material ordered for Reference, and material you judge to be appropriate for Reference placing material on the "Ref. To Be Processed" shelf for the Reference Librarian to evaluate. The Reference Librarian will flag material wanted for Reference.
- Check Ref. material in Innovative for correct I type , i.e., I-type 7.
- Stamp the date, "Reference", and "Library Use Only" on the date due slip.
- Place a "Reference" sticker on the spine near the call number.
- Send an e-mail to Infodesk/ISVC indicating new items in Reference (title, call no.), and whether they are new titles or new editions of titles already in Ref.
- Shelve the new titles behind the Info. Desk, and shelve the new editions directly onto the Ref. Book shelves.
- Pull older, previous Reference editions and give to Acq. Librn. with note, "Newer ed. in Ref."
Statistics
Record the following STATISTICS:
- number of new books (don't include uncataloged material, i.e., staff copies),
- Theses,
- KKS,
- microforms (e.g., fiche),
- computer files (diskettes or CDs),
- videotapes,
- anything else listed in the Collection Monthly Report.
Price updating in Innovative
- Update PRICES when the item costs over the default price of $107.
- The accompanying order record, or, the E PRICE in Innovative will list the price estimated or paid.
- Batch and update prices at least once a month.
- Record the prices on the Monthly Statistics Report (may be done at the time price updating in Innovative is completed).
