Document Services Policies

ELECTRONIC JOURNALS

UW-AFFILIATED CLIENTS - we will make copies freely whether or not we also own the print version of the journal. Regular copyright rules will be observed.

NON-AFFILIATED CLIENTS - we will make no copies for these clients, even if we should own the print version of the journal.

COPYRIGHT

ILL-LENDING
  1. a copyright code (ccg or ccl) and an authorizing signature (or the electronic equivalent) must be on each request. If they are missing, the request is returned unfilled.
  2. we make no copyright decisions for ILL-lending. We copy whatever the borrowing library has requested because they are responsible for all copyright compliance for their library.

DOCUMENT DELIVERY (INCLUDING LONESOME DOC)

"Fair Use" is defined as: one journal article or book chapter, or, 10% of a journal issue or book WHICHEVER IS GREATER. For example, if a journal issue is 200 pages, the client could have 1 article (of any length) or 2 or more articles totaling no more than 20 pages. This is for any year of a monograph, or for the last 5 years (current year + last 4 years)of a serial.

  1. UW-AFFILIATED CLIENTS - the library will pay copyright fee for any request that goes beyond "fair use". We complete the proper "copyright reporting form" before the item is sent in to copy. We report to CCC quarterly. (If the request is transferred to ILL, see below)
  2. NON-UW AFFILATED CLIENTS- if the item goes beyond fair use the client must indicate willingness to pay copyright or the request is returned unfilled. If the client is willing to pay copyright, we complete the proper "copyright reporting form" before the item is sent into copy. The patron pays a set copyright fee (currently $10.00) to us and we pay CCC's fee when we report to them. We report to CCC quarterly. If we acquire the item from a commercial vendor, the fee we pay them includes copyright, so we do not report anything that might have gone beyond "fair use". (If the request is transferred to ILL, we report EVERY filled request (that falls outside "fair use") to CCC. This is so that no non-UW request is counted in our ILL-Borrowing copyright records)

ILL-BORROWING

SET-UP: A copyright sheet (a photocopy of the request) is produced during the set-up procedure if the request falls into either of the following categories:
  1. the request is for a chapter from any book (of any date) that we do not own.
  2. if the UW Libraries does NOT own a current subscription AND the request is for an item from the last 5 years (the current year + the previous 4 years).

FILING: If the request is never filled, the copyright sheet is discarded. If the request is filled, the copyright sheet is filed (by title) for the current calendar year. At the end of the year, we report to CCC journal titles with more than 5 article requests. (Note: if the lending library indicates that they are filling from Adonis, or any other commercial vendor, we do not include in our copyright records, because the fee charged us includes copyright.)
