III and ERes Naming Standards

In order to make it easier for library staff and users to find reserve records, the following naming standards were created. Many of the standards insure that all departmental courses appear in the same alphabetical list (e.g. it makes a difference where the spaces are).

Professor/
Instructor

In ERes, instructor information is entered by creating faculy level accounts. Username is the person's UWNetID without the @u.washington.edu.
Password should not be the UWNetID password. An ERes bug requires it to be entered, and occasionally requires a faculty member to use it when editing pages.
Group is almost always faculty. People who edit multiple courses may be given Librarian accounts. Library staff are generally given Manager accounts.
Email address is not a required field, but should be entered anyway. Otherwise the ERes mail functions won't work.
When creating a course, you select the instructor(s) from a drop-down menu of ERes accounts.

In the PROF/TA field, enter LAST NAME, FIRST NAME.
Make sure you include a space between the comma and the first name.

TA

TA's (and staff members) who want to add documents to a course need to have faculty accounts and be included as instructors for the course.

TA information is entered in the PROF/TA field. Enter LAST NAME, FIRST NAME. Again, make sure you include a space between the comma and the first name.

Course Info

Departments: are selected from a drop-down list. If the department is not available, you must create one.

Course Numbers: are entered in the course number box on the Create a Course Web Site page. No spaces are allowed and any section numbers should be capitalized.

Additional courses may be entered by using the ERes Crosslist function.

Full Course Name/Number:
Enter the department name followed by a space then the course number. Any section numbers should be included as part of the course number without a space (e.g. ECONOMICS 200A).
Bothell and Tacoma courses always start with the word "BOTHELL" or "TACOMA" (e.g. BOTHELL BUSINESS 490).
Abbreviated Course Name/Number:
Use the abbreviated department in upper case letters without any spaces followed by a space and the course number. Any section numbers should be included as part of the course number without a space (e.g. ECON 200A).
Bothell and Tacoma abbreviated course names always start with "B" or "T" (e.g. BBUS 490).
Additional courses may be entered if necessary using additional course fields.
NOTE: III selects the first course name listed when changing the call number to course name. So if you use that feature, please make sure to enter the appropriate course name first.

Course Name

Course names should be entered as they appear in the appropriate Time Schedule. Course names may be entered in the III Course Note field if desired.

Course Note

Course notes entered in the Course Information box do not appear on the ERes documents page. Students must go to the course information screen to view them. So this field is usually left blank. Course notes are not searchable in the catalog. They usually include the quarter the course is being taught. Additional course notes may include the course name, staff initials, notes about loan periods, or notes about the status of processing the request.

SLN

SLNs are not included in ERes records.

SLNs are used to create links from MyUW to course reserves.
SLNs should be entered in the form:
SPYY xxxxx for Spring Quarter
SUYY xxxxx for Summer Quarter
AUYY xxxxx for Autumn Quarter
WIYY xxxxx for Winter Quarter
where the first 2 letters denote the quarter, YY is the 2-digit year followed by a space and the 5-digit Schedule Line Number (denoted as xxxxx) from the Time Schedule.
If a course has multiple SLNs, use a separate SLN field for each one.
If a course has a main section plus quiz or lab sections, you only need to list the SLN for the main section.
If a course doesn't have an SLN, leave the field blank.

Document Authors

There are multiple choices for entering authors. You can:

  • omit them
  • enter author names as part of the title (either at the beginning or end depending on how you want the materials to alphabetize); or
  • Choose to add copyright information to the article and enter the author's name on the copyright info screen.
Authors are optional in III. If you choose to enter them, enter them as LAST NAME, FIRST NAME. Make sure you include a space after the comma.

Always use upper case letters when entering information for temporary reserve records in III.
