| Check for copyright information for book chapters | It's necessary to include copies of both sides of the title page when you are scanning book chapters. If this was not provided, get it from our stacks if possible. If that's not possible, request it from the instructor. If you still can't get a copy of the copyright information, you may use the standard copyright page. |
| Write file names on the readings | Standard file names include the course name and number followed by a reading number, eg. NURS51001, NURS51002, NURS51003.... You must use Explorer to see existing files. |
| Log on to the workstation if necessary. | See your supervisor for a password if you don't remember it. |

| Click on the Configuration tab | Make sure there are green lights next to all of the workflows you want to use. If not, put a check in the left-hand box next to the workflow name. The workflows we use most often are: fall - image, spring - image, summer - image, and winter - image. |

| Select the workflow | Send TIF to workflow should not be changed Use the dropdown workflow name menu to choose your workflow. The workflows we use most often are: fall - image, spring - image, summer - image, and winter - image. You can use the ocr workflows if you are trying to reduce file size. |
| Check the document spacing setting | It should normally say One document per feeder load. If you have a particularly long reprint, you can change this to Interactive (prompt user). |
| Enter the file name | The name of the file can be entered in the left-hand box of the next row down. If it's greyed out, click on the button that says Auto to change it to Manual. You should then be able to enter the file name.
Warning: If you choose a file name that is already in use, it will be overwritten without giving you a warning message. |
| The next line has a setting that says Start at front of sheet 1. No changes are necessary. | Place the document face-down in the scanner | Pages should be fanned slightly (see illustration on scanner) and the top of the document should go first into the scanner. |
| Click on the Scan button | at the botton of the screen. If the Scan button is greyed-out, double-check for a green light on the appropriate workflow on the Configure page. |

| Click on the Documents tab | to check the progress of your processing. Documents that are still being processed are listed in the top box. Finished documents are in the bottom box. When all documents are finished, you can clear them out of the finished box by clicking on the Clear Finished icon at the bottom of the finished documents section. There are 4 icons at the bottom of this section and it's the one on the far right-hand side. NOTE: You can be working on creating III records while the documents are still processing. |
| Exit Acrobat Capture at the end of the day | It takes a long time for the program to start up. So, it's best to keep it running all day. |
| Turn off the monitor at the end of the day | It's generally not necessary to turn off the computer or scanner, though you may choose to shut down and restart the computer. |
Messages
When Acrobat Capture 3.0 has a message or warning, there will be a colored indicator somewhere on the screen. For instance, one of the file tabs might be blinking in red. When you click on the appropriate file tab, you'll see a line somewhere on the screen that has the word "warnings" somewhere on it. Click on that line to view the warnings.
The Dongle
Capture comes with a 21,000 page limit. It uses an orange "dongle" that is screwed into the back of the workstation to count copies. You can view the copies remaining by clicking on the "Workflow" tab at the top of the screen and watching the pages process. A new dongle should be ordered at about the 5,000 page level. When the dongle gets low, Capture will give you a warning message every 100 pages for the last 1,000 pages. If you run out of copies before a new dongle arrives, it's possible to process pages anyway by deleting the "Deskew Image" step from the workflow. Pdf pages created this way can be pretty cock-eyed, so it's better to avoid having to do this if possible.
