E-Reserves for courses that continue past Summer Quarter 2001 MUST be converted to ERes.
New courses should be processed directly on ERes. There are no year-round courses in ERes, so new courses should be listed as taking place the first quarter they are offered and placed in the corresponding color folder for that quarter. For example, a Fall/Winter course would be listed as Fall 2001 and put in a yellow folder. When courses are deprocessed, ERes records will be changed and the file folder color will be changed to the next quarter.
Identify courses that need to be converted. At HSLIC, we need to check all of the file folders, regardless of color coding. Victoria, please start at the front of the alphabet. Cheryl, please start at the end. I'll do NURS 510 because it's so confusing. Grace, I'm sure you have some way of identifying Social Work courses that need to be converted.
Edit files that need to be transferred. Make sure that they are high quality and as small as possible. Recopy, recrop, distill -- whatever you need to do to ensure quality. Since we have the ability to archive with ERes, we may never need to scan or crop these articles again. And any problems will haunt us quarter after quarter. Remove the standard copyright page.
Create a course record in ERes. You will probably also have to create a faculty account. Converted courses should be labeled as being taught Fall 2001 even if they are being continued from a previous quarter or will last more than one quarter.
Place the documents on reserve for the class. Transfer files, create direct links, etc. Make sure you use standard document titles wherever necessary. Double check all links to make sure they go where you want them to go. We already know that there is a problem converting ProQuest SiteBuilder links to ERes.
Create a link from ERes to the III record if there are any physical materials for the course. If Penny has tapes for the course, create a link to the course lecture tape record as well. Use "+List of Lecture Tapes" as the document title.
Update the III record to include the Fall Quarter SLN number from the Time Schedule. This is the information that will be used to create the link to reserve materials from MyUW.
Record your progress. Make a note in the file folder that the materials have been completed. When you complete an entire file box, tape a note on the outside of the box saying that it is complete.
Make sure the file is in a blue folder. That way, we will find it when deprocessing summer reserves.
Record Statistics. Keep monthly statistics concerning the number of electronic reserves you convert to ERes. Do not count the links you create between III and ERes. Those are part of the course record. Please keep these statistics separate from any new reserve items you process.
Create a link from III to ERes.
Delete the E-Reserves from III.
Notify the instructor of the change.
Move the electronic files from the Winter/Spring/Summer/Fall folders on Salk to the Converted to ERes folder. This will help us keep track of any stray files that were missed in the conversion. Salk will no longer be available after we are completely converted to ERes.
