ENTERING RECORDS FOR PERSONAL COPIES

From the Course Reserves section of the Denali Circulation module:

Press B

To select B > Key a BIBLIOGRAPHIC-ITEM record

Type 10

To select 10 > cirres : Circ. Reserve, the bib record template for electronic reserves

Type 27

To select 27 > hsresv : HSLIC Reserves, the item record template for electronic reserves

Press n

When prompted Check for duplication? (y/n)

Press n

When prompted Do you want to key MARC records? (y/n)

Press n

When prompted Do you want to key SUBSTITUTION phrases? (y/n)
NOTE: If you are entering multiple reserve items, you may want to answer yes to this question in order to create short cuts for entering long strings of data.

Press y

When prompted Are all options as you want them? (y/n)

Press [enter]

At the AUTHOR prompt to leave the author field blank.
Because of the length of the display, authors display awkwardly in reserve records and create misleading hot links to author searches.

Type THE ITEM TITLE and press [enter]

In capital letters at the TITLE prompt..

  • Book titles should match the title of the book
    Example: THE MAKING OF A NATION
  • Lecture tapes usually include the name of the course and the fact that it's a tape. They should also include the date of the lecture with the month listed as 2 digits..
    Example: ENVH 405 Lecture Tape 04/25/01.
  • Nursing videotapes generally use the title of the individual lecture instead.
    Example: DIURETICS
  • Titles for reprint notebooks should include the name of the course and the fact that the notebook contains print readings or exams or whatever.
    Example: HSERV 581 Readings (Print)
    Example: HSERV 581 Exams (Print)
    Example: HSERV 581 Handouts (Print)

Titles can be adjusted to suit the needs of the course. If you're adding material to an existing class, please check to see how titles were entered for previous material so that you can be consistent.

Type 37

At the I TYPE : 30_ line to change the I-type to library use only. If the instructor wants another loan period, you can choose the appropriate loan period from the i-type codes list.

At the PRICE : $0.00 prompt to leave the price blank.
Since this item is library use only, there should be no need to send a bill for an item which is checked out and never returned. If, by chance, an exception is made, the person will be billed our standard replacement cost of $85.00.
Type the CALL NUMBER and press [enter]

In capital letters at the call number prompt. The call number should include HSRES followed by some information unique to the item.

  • Reprint notebook call numbers can be the same as the title
    Example: HSRES NURS 510 Readings
  • Most lecture tape call numbers should include the date of the tape
    Example: HSRES BIOST 537a 01/25/01
  • Nursing lecture tapes should include the name of the course and the tape number from the colored label
    Example: HSRES NCLIN 500 TAPE 9.3
  • Personal copies of books or other materials can include the name of the course plus an accession number
    Example: HSRES HSERV 454 1
