MISSING ITEMS
Items needed for processing
If an item needed for processing is not on the shelf:
- Place a search
- Continue searching for the item itself
- Notify the instructor
- Process it when found and notify the instructor.
If it remains missing,
negotiate with Colleen Weum and the instructor about the best way to handle the situation. Options include:
- Place a copy of a chapter or article on reserve
- Eliminate the item from the reading list
- Order a replacement copy
- Place the instructor's personal copy on reserve
Items missing during the quarter
If an item is reported missing during the quarter, search for it yourself hourly (or so) for 2 days. In most cases, the item will show up. If it doesn't, place a search and notify the instructor. Place a hold on it in III and mark it missing. If it's found, notify the instructor again.
Options for replacing a missing reserves item are the same as above.
Items needed for deprocessing
Continue to search for the item as you deprocess the rest of the courses. If it's still not found, UW Libraries materials are handled differently from personal copies.
For UW items:
- Make a record of the item and file it in the missing items folder.
- Place a search on the item. If this is the only course the item is on reserve for, make a note that the stickers need to be removed when it's found.
- Deprocess the item by line number
- Search regularly for the items in the missing item folder
- If it's not found or replaced within 6 months, check with Colleen Weum to talk about ordering a replacement. Replacements are not automatically ordered because we may choose to wait for a newer edition.
For personal copies:
- Make a record of the item and file it in the missing items folder. Make sure you include information about how to return it to the faculty member if it is found.
- Deproces the item by line number.
- Notify the instructor that it is missing and apologize for any inconvenience. Personal copies are placed on reserve at the owner's risk. So we don't generally order a replacement copy.
- Search regularly for the tiems in the missing item folder.
- If an item is found, return it to the instructor with a note.
