Updating III Course Records

Sometimes it's necessary to update a course record. This could be because you've made an error in entering it initially. Or, you could have received additional information about a course such as it being extended for another quarter or being taught by more than one instructor.

Enter the III course reserves module From the Circulation menu:
Select A > ADDITIONAL circulation functions
Select C > COURSE reserves
Enter your III username and password (III calls your username your initials)
Select U > UPDATE a course record

from the reserves subsystem menu. You will get the following menu:

Update:

R > COURSE record
F > Review FILE records

S > SUMMARY of all attached records
K > KEY Substitution Phrases
Q > QUIT
Choose one (R,F,S,K,Q)

Select R > COURSE record

You'll get the following message:

What COURSE record do you want to update? (RETURN if done)

Enter the course

III is assuming that you want to search by III course record number. Since most of us don't have a clue about what that is, we usually search by another field. To do this, you need to enter the field code:

R is for Course
P is for Prof/TA

Example: to search for NCLIN 410 you will need to enter RNCLIN 410.
Example: to search for a course taught by John Smith, you will need to enter PSMITH, JOHN.

Look at the record

All the information for the course will display, including the item record numbers for all of the items on reserve. Fixed fields display at that top. Free text fields display below that. Commands that you can use to edit the record display at the bottom.

To modify a particular field, Key its number |
|F > FULL Screen Editor Z > MOVE Fields M > MORE COURSE |
|I > INSERT a Field D > DELETE a Record + > ADDITIONAL options |
|Choose one (1-55,F,I,Z,D,M,P,R,Q,+)

To modify an existing field Key its number and retype the information
To insert an additional course name use I>Insert a field and R (course note) as the tag of the field
At the COURSE prompt, type the course abbreviation with a space between the department and course number (e.g. NCLIN 411). If there is a section listed, do not include a space before the section letter (e.g. NCLIN 411b).
To insert additional instructors use I>Insert a field and P (Prof/TA) as the tag of the field then enter the name of the next instructor
To insert additional course notes useI>Insert a field and N (Course Note) as the tag of the field. If you know that there is going to be a delay in processing the material, you can write a note saying the date the request was received and the anticipated date the material will become available.
Select Q>Quit and M > MAKE changes to COURSE permanent then [return] to exit to the main Course Reserves menu
